Senior Specialist, Business Support

Essential Duties and Responsibilities:
Manage and maintain GM' schedules, appointments and travel arrangements; monitor them to ensure maximum efficiency and accuracy; and adjust the schedule based on changes
Take full responsibility of organizing management meetings, compilation and distribution of the agenda, make sure that meetings are well arranged and priorities are addressed timely and brief the GM before appointments or meetings with appropriate background
Compose moderately complex letters, memorandums, reports, presentations, announcement and analysis on behalf of the GM by identifying required information, researching background information, and gathering it from appropriate sources
Maintain administrative procedures and processes for GM including maintain databases, file and retrieve documents and reference materials answer and manage incoming calls, receive and interact with incoming visitors, liaise with internal employees at all levels
Collect and file chop request, brief the content to the Executive and circulate the document after chopping; responsible for controlling signatures, taking policy into account, timely forwarding of documents
Push, check and review work on behalf of the GM as necessary
Other tasks assigned by GM
Ensure visitors have appropriate visa, passport and other necessary travel document based on the country’s entry requirements
Understand and accommodate cultural preference, customs and etiquette of visitors
Provide a detailed agenda and schedule of the visit, including meetings, tours and events
Arrange transport and accommodation suitable for visitors’ stay, including pickup services, hotel booking and local transportation
Lead the internal communication events on content and graphic design as requested, e.g. Townhall and gathering events, including annual dinner, annual party, outside meeting and etc
Playing an active and lead role on PR topic exploration, development and planning
Independently develop, write, edit and finalize a wide range of communications including emails, newsletter articles, presentations and other communications as needed for our internal audience
Manage the expenses and budget management for internal communications and vendors accordingly
Manage relationship with US Embassy Amcham, etc
Required Skills / Experience / Competencies:
Bachelor’s degree
Minimum of 5 years of experience in relevant experience
Preferred Skills / Experience / Competencies:
Proficient in oral and written English
Hands-on experience in Microsoft Word, Excel, and Power Point
Multi-tasking abilities
Attention to details and well-organized
Responsible and committed, display a sense of urgency and strong initiative
Strong communication skills
Self-starter and acts with integrity
Able to deal with people from all levels of an organization from Business Leaders, Associates, Counterparts, Guests, Vendors and Service Providers, etc.
Exhibits high level coordination, planning and negotiation skills
Job Requirements:
Full time work, overtime is expected
